| ECPOS Retail Solution |
The ECPOS Solution is based on a modular and scalable architecture of a number of subsystems that cover both the back-end and front-end operations, including:
- Point-of-Sales
- With emphasis on ease-of-use, a sales operation (transaction) is normally completed in 10 seconds. Furthermore, the system consolidates both sales, sales return, and goods exchange into one screen to further increase the efficiency and hence customer service quality.
- Customer Relationship Management Tools (CRM)
- VIP System: maintains the member information database including buying history for further promotion and sales analysis as a useful decision support tools.
- CRM message board at Point-of-Sales: with the sales tracking from VIP system of the most prestigious customer group, the system will display related purchase during the years at the point-of-sales. If the "discount pack" option is set, it also prompts the salesperson to remind the customers that they can receive more benefits with the more they purchase, ie. to facilitate cross-selling activity. On one hand, it increases customer loyalty, and on the other hand, it promotes sales figures.
- Pricing Policy
- Item Pricing and Promotion System: This system provides normal item pricing, discounted pricing (by both rate and amount), VIP sales pricing, etc., with effective and termination date enabling. We provide different normal and special price books for different regions. The special price book can facilitate different selling price for one single item within a region.
- The system also provides different user interfaces to facilitate the grouping or searching of items for promotion. This pricing flexibility is key in the CRM process.
- Discount Policy Setup
- As mentioned above, ECPOS can support different sets of Price Book for normal and discount price in a user-defined period. User can also assign price book to different outlets as needed so that you can setup some promotion campaign for a specific group of products in a particular outlet only. We also provide a number of different discount policy setup as follows:
- Automatic pre-set discount
- Discount after specific tender type, e.g. less 10% while using HSBC VISA card, bulk purchase discount, Less 10% if net sales over 1,000, less 15% if net sales over 1,500, etc.
- Discount on special product category pack, e.g. less 10% if buy 2 lipsticks and 1 foundation
- Different discount for different VIP type, e.g. less 20% Gold VIP; 10% for Silver VIP.
- Salesperson selectable discount
- Item level and memo discount, e.g. special discount applied after presenting a specific coupon, says from magazine.
- Replenishment System
- It also provides different stock replenishment information to cater different replenishment modes, namely auto-replenishment, new stock distribution and manual replenishment with workflow control between the warehouse and different outlets.
- Our system also maintains a shop-to-shop, region-to-region and even color-size (particularly for garment industry) replenishment ratio so as to simplify the large batch of new stock distribution operation especially at season beginning. By just one click, replenishment orders for all shops can be generated based on the above ratio.
- During the season, besides auto-replenishment, which is according to sales quantity, the system will provide different analyses on sales performance, sales-to-stock ratio, breaking color, breaking size and so on to facilitate the manual re-structuring of the stock amongst shops in a region via the replenishment system.
- Procurement Planning system
- We employ the bottom-up approach to develop the procurement plan from different regions indicating the requirement (quantity) for each product category based on the historical sales data and future trend anticipation. The central procurement department can then consolidate the regional plans to be the master plan and determine the no. of styles and final quantity to be purchased (produced) for each product category. The system will base on the region-to-region ratio and color-size ratio of each product category to generate the recommended color-size breakdown for each style.
- In this planning system, the regional differentiations of taste, color-size and culture will be largely incorporated. It also makes the new season stock planning spontaneously react to the latest trend and sales figures.
- Inventory
- This module tracks every stock movement, from stock in to stock out, and provides accurate information on stock availability and the average unit cost. The system supports different modes of the stock taking process, namely, full and perpetual stocktaking. It automates the stock adjustment process and minimizes the "frozen time" of existing stock.
- Day-end and month-end control
- The day-to-day communication and reconciliation between outlets and back-office is facilitated by a comprehensive, but fully customizable, day-end reporting function, automatically generated from the system. Although the system allows the back-dating of transactions, it provides a month-end control procedure, to prevent any careless transactions to be wrongly posted.
- Shop Attendance Module
- The system tracks the in and out time of every salesperson in the outlet. This information will be automatically exchanged with the backend ready for further payroll or attendance checking.
- ECData Exchange Subsystem
- It provides a flexible communication platform to pull data from each outlet and, at the same time, allows online requests from each of the outlets. With this system in place, the back-office can provide more frequent replenishment, to minimize stock in each outlet, and hence maximize the productivity of each rental floor area.
- Management Information System
- By aggregating all logistics and sales information together in a central repository, the Management Information System (MIS) can seamlessly provide virtually unlimited kinds of multi-dimensional analyses to facilitate a variety of decision- making processes.
- We leverage the different tools to fit into different user requirements. Tools include Discoverer 2000, Microsoft Excel and Report Generator.
- Report/Screen Format Customization
- As mentioned above, our ECPOS is a well-proven package with successful track record implemented in both Hong Kong and PRC. However, we also provide a customization service to customer, particularly on screen / report formats, to tailor fit the image, look and feel and culture of the end customer. It will further increase the success rate and fit into your business inside out. And hence it maximizes the benefit the customer can enjoy from.
